I don’t see my submission under my account.

  • Are you logging in with the correct email? Sometimes contact authors will use an alternative email to add you as a coauthor. This creates two email accounts that can cause issues. Contact us to merge them. Provide the conference and paper numbers in your email.

  • Are you looking at the right conference? Go to Change Program to select the correct conference.


I cannot log in.

  • Are you logging in with the correct email? Users with two or more email
    accounts can cause login issues. Contact ASME staff at [email protected] to
    merge them. Provide the conference and paper numbers in your email.

  • Ensure there are no spaces before or after the email when entering the login
    page.

  • Ensure you use the correct password.


I forgot my password.

  • Enter your email on the login page and click on “forgot your password.” This will
    send an automated email to the email address on your record. Check your inbox
    and/or Spam folder, in case of misdirected emails. Follow instructions for
    resetting password in the email.

How can I withdraw my abstract?

  • If your submission was not yet accepted, you may withdraw your submission by
    going to the paper record, clicking on the link “withdraw this submission.”

  • If your submission was already accepted, you must contact staff to withdraw on
    your behalf.

When logging in, I received the message: [email protected] already exists with a
different user ID.

  • Log into your ASME Customer Account and ensure the email you are using is the primary email.

  • This indicates that the SSO ID used to identify your account is incorrect. Please
    contact ASME staff at [email protected] to resolve this issue. Provide the
    conference and paper numbers in your email.

My Submission is “incomplete.”

  • Submissions must be “finalized” to be properly submitted. Make sure to click “Submit” or
    “Save and finalize” to finalize your submission.

  • If you are a coauthor unable to finalize your submission, please ask your Contact
    Author to log in to and click the “Submit” button.

Can I add a coauthor?

  • If the paper was not yet accepted, you may contact us to open your record for
    editing to add a coauthor.

  • Adding an author before this date requires written agreement of all co-authors
    and written confirmation from the author to be added. Please contact [email protected] for any questions or assistance.

  • New authors cannot be added after the draft acceptance deadline.


Can I remove a coauthor?

  • Please contact ASME Staff at [email protected] to remove your coauthor.

  • Removing an author requires written agreement from all co-authors as well as
    written confirmation from the author to be removed.

  • Authors cannot be removed after the posted draft acceptance deadline, except
    under exceptional circumstances.


Can I update my paper title?

  • If the draft paper was not yet reviewed, you may contact us to open your record
    for editing to update the paper title.

  • Paper titles cannot be updated after draft acceptance.

  • Please be sure at the time of submission that the title is correct on the submitted
    final paper. The title that appears on the final paper is the title that will be used
    in publication.

Can I update my draft paper?

  • Papers cannot be updated after they are submitted. Please make sure that you are uploading the correct file and that it is free of errors at the time of submission.


I didn’t receive my copyright form.

  • Copyrights are sent automatically upon draft submission to all authors of the
    paper using the emails on their accounts. Please ensure your email is the
    correct one when submitting your abstract.

  • If you need a copyright resent, contact ASME staff for assistance at
    [email protected].

Do you have a paper template?

  • Draft and final paper templates are available on the Conference Specific-
    Information page of each conference’s submission site. View under Author
    Resources.

How do I see the comments from draft paper reviewers?

  • Click the reviewer feedback link in the draft paper notification sent to you upon
    draft paper decision.

  • Reviewer comments are also accessible directly in your author login under “View
    comments” link.

How do I upload my paper files?

  • Log in and go to Needs Attention menu and click on Open and then upload your
    file.

  • All submissions must be a PDF file and no larger than 10mb.

  • All submissions must be formatted according to our template, which is accessible
    under the Conference Specific-Information page of each conference’s submission
    site. View under Author Resources.

What is a rebuttal file?

  • A rebuttal file is a document that states how the author addressed the review comments in the revised draft and/or final paper submission.

  • The file must be a PDF file and no larger than 10mb.


I didn’t receive my confirmation email after submitting a paper.

  • Ensure your email is correct on your author account.

  • Check your Spam folder in case of misdirected emails.

  • Ensure you are opted in to receive emails from ASME. You can change your
    settings on your Customer Account on www.asme.org.


I can’t upload my final paper because of copyright or registration restriction screen.

  • Did you or another author register at the full author rate?

    • If yes, was the email used to register the same as on the author account?
      The emails must match our system to synchronize your registration
      status.

      • Please note that it can take up to one hour after you first try to submit the final paper for your registration to sync with the submission.

    • If no, complete the registration before upload. There may be a server
      delay before your registration status changes.

  • Did you and all your coauthors complete the copyright forms?

  • If both requirements were fulfilled, but you are still experiencing issues, please
    contact [email protected] for assistance. Provide the conference and
    paper numbers in your email.


How can I register?

  • Authors must register using the same email address as was used to submit their
    papers.

  • Can be accessed through the author login.

  • All presenters must register at the full author rate. Student rates do not apply.

  • Author registration is due on the same date as the final paper submission.

  • Reg info is on the asme.org website of each conference page.

  • For more information on our presenter policies, please visit:

  • Registration opens around the time of draft paper acceptance but may vary with
    each conference. An email is sent to all authors once it’s live.

  • Attendee and student registration opens once author registration has closed.
    Check the website for your event for specific dates.


I want to replace my final paper.

  • Unfortunately, once a final paper is uploaded, we cannot replace the file. All
    authors agree to upload a publication-ready version of the paper at the time of
    submission.

  • ASME Publications staff will reach out to you if we need a revised final paper due
    to copyright or formatting issues.

  • ASME will replace all incorrect paper headers before publication, including removing the word “draft” from all final papers. No need to contact us to revise.


I need an invitation letter.

  • All authors receive a link in their abstract acceptance email to download the
    invitation letters themselves. First, log in to your author account on the
    conference-specific submission site. Then, click the invitation letter link in the
    email. This will auto-populate your paper information. A PDF will be
    downloaded to your computer.

  • Invitation letters cannot be customized.


I need a certificate of participation.

  • Unfortunately, ASME cannot customize certificates of participation. Please use
    your draft acceptance or abstract acceptance email in combination with your
    invitation letter for participation in the event.

  • Attendance letters/certificates will be sent to the conference attendee after the conference has been completed. Please contact [email protected] if you did not receive this.

Where can I see my presentation date/time?

  • Each conference schedule is posted under the Program Page of the conference
    website for your event.

  • Schedules are available approximately 3-5 weeks before the conference start
    date.


How can I access the conference app?

  • A link to access the app will be emailed to all registered attendees approximately one week before the start of the conference.

  • Alternatively, you may go to the app store on your mobile device. Search for
    ASME Conferences or ASME Events and download the app of the same name.

Where can I view/download the conference papers?

  • All registered attendees will receive an email to access the papers on our online
    paper site. If you didn’t receive the email, please contact ASME staff at
    [email protected].

  • The official proceedings is published approximately three months after the last
    day of the conference. They can be accessed on ASME’s Digital Collection at
    https://asmedigitalcollection.asme.org/ .

What are ASME’s author policies?

  • All author policies are posted on each conference website under the Policies tab. These are subject to change to without notice.

Which email should I use for support?

  • If contacting us about paper submissions, reviews, email notifications, login
    issues or other web tool issues, use [email protected].

  • If contacting us about copyright issues, indexing or other Publications-related
    inquiries, please use [email protected].

  • If contacting us regarding registration, final program or onsite assistance, please
    contact [email protected].

  • If requesting access to the online paper site, please contact
    [email protected].

  • Remember to provide the conference name and paper numbers in your email for easy
    tracking. All emails should be sent in English for timely support.

  • Replies will be sent in 24-28 hours due to the volume of requests received, so please do not send multiple emails or send to multiple addresses.

Where can I find other resources for submission and presentation?

  • Author Resources are located both on our asme.org website on the bottom of
    the homepage, as well as under the Author Resources area of the submission
    site. Check the site of your individual event for more information.

  • In addition, authors are regularly emailed instructions on submission and
    presentation requirements. Please ensure you are opted in to receive our emails
    and add all our support emails to your contacts.
