After cloning from a conference template, there will be a number of settings and actions that are required to be updated for the new cycle or program.
Program Code
Open the program from the dashboard and go to Program Settings > General Information. Update the program code and tag like so:
Force Domain
Scroll down and make sure the ‘Force Domain’ option is set to point to the public website associated with this conference.

Email Templates
On the same screen as the above, you might see an “Email Templates” tab if this program is configured to override some of the default system email templates. Tab over there and go through the available templates to see if any content needs to be updated in these emails.

Program Managers You might have some administrator staff who only have access to certain programs and not others. These admins with limited permission rights might need to be updated. |
Submission Dates Update the relevant dates for all rounds of your workflow: https://help.getopenwater.com/en/articles/1299786-configure-the-deadline-dates-for-submissions-and-judging — however, we recommend you leave the submission date open so that you can test out your program. You can lock it down with a password temporarily if you wish: https://help.getopenwater.com/en/articles/1299877-restrict-applicant-access-to-a-program-with-a-password |
Available Tracks & Descriptions Each conference will have a different set of tracks available that need to be updated. This can be accessed by going to the program and in the top navigation click Round Settings > Submission Form. Here is the help article: https://help.getopenwater.com/en/articles/1304575-build-your-submission-form |
If you click on these little ‘link’ icons in the list of options, you can further show a description of the track. This description will appear if the user selects this option.

Confirmation Email Update the confirmation email content: https://help.getopenwater.com/en/articles/1315420-send-a-confirmation-email-after-applicant-completes-submission |
Confirmation Page Update your confirmation page: https://help.getopenwater.com/en/articles/1315405-customize-the-confirmation-page-text-displayed-to-the-applicant-after-submission |

Note Please note that each round > short abstracts, draft papers, revised draft papers, full papers, each can have their own unique set of confirmation emails and confirmation pages. They will all need to be updated in the same manner described above. |
Reviewer Sign Up Form Peer reviewers are required to “opt-in” and participate as a reviewer. They can do so by completing a judge sign-up form. The content of the confirmation page as well as the dates and link to sign up can be updated and found by following this article: https://help.getopenwater.com/en/articles/1378683-require-individuals-to-sign-up-to-become-a-judge |
